Director of Office Operations
& Admin Support


Summary: The NAMI Greater San Antonio Office Operations and Admin Support will be responsible for overseeing the NAMI Greater San Antonio day-to-day Operations and supporting the Executive Director.  In this role you will be expected to perform a variety of assignments and projects.  This role will require excellent communication and organizational skills, familiarity with office operations, ability to support staff member requests, and great customer service skills. 



  • Ensure that all office equipment is functioning and reporting of any issues immediately to vendors.

  • Support staff with office supply needs and printing requests for flyers, certificates, and documents.

  • Work closely with Bookkeeper in providing support documentation of expenses

  • Pulling of NAMI 360 membership report when funds are received for renewals or new memberships.

  • Support Warmline by answering questions or resolving issues Microsoft Forms used for tracking.

  • Work with Warmline Representative to produce Admin Report for Board bi-monthly.

  • Host Weekly Roundtable to discuss with Warmline Representative complex calls.

  • Support the General Meeting Steering Committee with creating the meeting invitation, attending weekly calls, sending out invitations, creating registration form, and related tasks.   

  • Support Executive Director with bi-monthly Board Packets

  • Works letters or emails, reports, spreadsheets, and other documents as requested by Executive Dir.

  • Schedule meetings using Microsoft Office, for internal or external and attend them if requested.

  • Record minutes or Meeting Recaps and distribute them as requested.

  • Answer and direct external parties to the appropriate internal resource, whether by telephone, in-person, or email.

  • Organize files and keep records related to the office; this may be your department’s record-keeping or specific records related to the office, such as vendor information.

  • Compile data and other information as requested by leaders.

  • Create and/or updated office forms or procedures.

  • Research and learn the NAMI Signature programs and NAMI-BTCSA to have knowledge to speak about them to the community.

  • All staff is expected to support NAMI Greater San Antonio efforts to maintain NAMI education fidelity standards and program requirements.

Job Qualifications:

  1. Bilingual a plus (Spanish and English).

  2. Associates Degree preferred or 3-5 years administrative assistant experience preferred.

  3. Must have exceptional people skills.

  4. Demonstrated written and oral communication skills. 

  5. Exceptional organizational skills and ability to prioritize goals and tasks.

  6. Proficient skill level using Microsoft Office Word, PowerPoint, Excel, FORMS, Visio, and Teams.

  7. Must be knowledge and comfortable using video conferencing platforms such as Zoom, WebEx, 6

  8. Ability to meet deadlines, follow directions, and work in a team setting.

  9. Willingness to work in a supportive role.

  10. Flexibility to work into evenings as required to meet assignment or project deadline.

  11. Must have transportation to preform job role in-person at Greater San Antonio NAMI and to attend meetings hosted by NAMI.
