Education Department Administrative Assistant
– Full-Time Position
Summary: The NAMI Greater San Antonio Education Department Administrative Assistant will be responsible for a variety of assignments and projects in support of our signature programs. This role will require excellent communication, organizational, and customer service skills. This position reports to the Director of Education and Support Programs.
ESSENTIAL DUTIES AND RESPONSIBILITIES:

Draft letters or emails, reports, spreadsheets, and other documents. These may be specifically related to the office, or you may be assisting a NAMI San Antonio leader with their work.

Schedule and book meetings, secure class, and training sites.

Record minutes of meetings and distribute them.

Answer and direct external parties to the appropriate internal resource, whether by telephone, in person, or email.

Organize files and keep records related to the office; this may be Education Department’s record-keeping or specific records related to the office, such as vendor information.

Compile data, statistics, and other information for reports to your management team.

Obtain program data from Education Department and compile board and committee reports.

Update office procedures and NAMI Greater San Antonio policies pertaining to Education Department.

Create and email (or mail by U.S.P.S on occasion) certificates of completion to class participants after classes end.

Assist with reviewing survey results and compiling data reports.

Contact class registrants to confirm class registration or direct to most appropriate resource.

Assist with entering outreach events and presentations into database and update as needed.

Participant in volunteer events, especially those related to fundraising.

Research and learn the NAMI-GSA signature programs and NAMI-BTCSA to have knowledge to answer questions about them over the phone or by email.

Support NAMI Greater San Antonio efforts to maintain NAMI education fidelity standards and program requirements.

Maintain communication with and report to NAMI Greater San Antonio Director of Education and Support.

Keep class and support group flyers updated and disseminate them monthly by email to community stakeholders.

Provide support preparing materials for classes and presentations, including photocopying.

Provide support at outreach events on as-needed basis.

Other duties as assigned.
Job Qualifications:

Associates Degree preferred or 3-5 years administrative assistant experience preferred.

Bilingual a plus (Spanish and English).

Must have exceptional people skills.

Have compassion, patience, and sensitivity to individuals with mental health conditions.

Demonstrated written and oral communication skills.

Exceptional organizational skills and ability to prioritize goals and tasks.

Proficient skill level using Microsoft Office Word, PowerPoint, Excel, Teams, Forms, and Canva.

Must be knowledgeable and comfortable using video conferencing platforms such as Zoom, WebEx, etc.

Proficient skill level using standard office machinery, such as phone system, photocopier, and scanner.

Ability to meet deadlines, follow directions, and work in a team setting.

Willingness to work in a supportive role.

Flexibility to work evenings/weekends as required to meet training and program assistance needs.

Must have transportation to meet with partners, attend meetings, and provide support, as needed, wherever NAMI classes, and support groups, and presentations are held in the community.
